Managing rota visibility and publishing in Givver

Control when shifts are visible and how updates are shared

Rota visibility and publishing settings determine when shifts become visible to employees and how changes are communicated. Managing this correctly ensures your team always sees the right schedule at the right time.

🛠️ Where to manage visibility settings

  1. Go to "Settings"

  2. Open the "Admin" section

  3. Navigate to the "Rota" section

  4. Review the "Scheduling" settings

👁️ Draft vs published shifts

Shifts can exist in two states:

  1. Draft shifts

    • Not visible to employees (depending on settings)

    • Can be edited freely

  2. Published shifts

    • Visible to employees

    • Represent the confirmed schedule

Publishing shifts ensures your team knows when they are expected to work.

📢 Publish shifts

  1. Review the shifts in your rota

  2. Select the shifts you want to publish (if applicable)

  3. Click "Publish"

Once published, shifts become visible to employees based on your settings.

✏️ Editing published shifts

  1. Select an existing shift

  2. Make the necessary changes

  3. Save the update

Depending on your settings:

  • Employees may be notified of the change

  • Certain edits may be restricted

🔁 Managing shift updates

When changes are made to shifts:

  1. Updates can trigger notifications to employees

  2. Employees may see updated times immediately

  3. Changes should be reviewed before publishing to avoid confusion

🧠 Things to keep in mind

  1. Draft shifts allow you to prepare schedules before sharing them

  2. Publishing confirms shifts and makes them visible

  3. Editing published shifts may notify employees

  4. Visibility rules are controlled in your rota settings
