Create shift patterns in Givver

Shift patterns allow managers to create reusable shift setups that can be used when assigning shifts in team rotas.

Patterns help standardise schedules, reduce repetitive manual work, and ensure consistency across sites and teams.

🛠️ Access rota planning

  1. Go to the "Time & Attendance" section

  2. Open the "Team Rotas" tab

  3. Click "Plan"

➕ Create a new shift pattern

  1. Open the planning panel

  2. Click "New pattern"

✏️ Configure the pattern basics

When creating a pattern, you can define:

  1. Pattern name

  2. Shift label

  3. Shift colour

  4. Work periods

  5. Breaks

  6. Site scope

🎨 Set the shift label and colour

  1. Enter a pattern name (for example: "Morning - Assistant")

  2. Open the "Select shift label" dropdown

  3. Select the relevant label (e.g. Morning, Evening, Night)

  4. Choose a colour for the shift pattern

Labels and colours make rotas easier to read and standardise shift types across teams.

⏱️ Define work periods

Work periods define when employees are scheduled to work.

  1. Enter the start and end time for the first work period

  2. Add additional work periods if needed

This is useful for split shifts or schedules with multiple working blocks during the day.

☕ Add breaks

Breaks can be added between work periods.

Fixed breaks

  1. Click "Add fixed break"

  2. Enter the break start and end time

Fixed breaks happen at a specific time during the shift.

➕ Add additional work periods

If the shift continues after a break:

  1. Click "Add work period"

  2. Enter the next work period start and end time

This allows you to create shifts with multiple work segments.

📍 Assign sites to the pattern

You can limit patterns to one or multiple sites.

  1. Select the relevant site under "Site scope"

If a site is assigned, the pattern will only be available when scheduling shifts for that location.

💾 Save the pattern

  1. Review the configuration

  2. Click "Create pattern"

The pattern will now be available when planning shifts.

🧠 Things to keep in mind

  1. Patterns can include multiple work periods and breaks

  2. Patterns help standardise scheduling across teams and sites

  3. Site scope controls which locations can use the pattern

  4. Using patterns reduces manual scheduling work and errors
