Launch your site’s Quick Clock kiosk from Team Rotas so employees can clock in and out with a QR code and personal PIN.

Launch your site’s Quick Clock kiosk so employees can clock in and out using a QR code and their personal PIN.

Your HQ or company administrator configures Quick Clock for the site. As a site manager, you launch the kiosk from Team Rotas.

Givver creates and refreshes the QR code automatically. You don’t need to generate, print, or manage QR codes.

🧰 Before you start

Make sure that:

  1. Quick Clock has been enabled for your site

  2. You can access “Team Rotas” and manage shifts for your site

  3. You have a tablet, computer, or screen ready to use as the kiosk

  4. The kiosk device has a stable internet connection

  5. You’re using a normal browser window, not a private or incognito window

  6. The employees using the kiosk are assigned to the correct site

If you can’t see your site or the kiosk actions in Team Rotas, contact your HQ or company administrator.

🏢 Find your site in Team Rotas

  1. Open “Time & Attendance”

  2. Open “Team Rotas”

  3. Find the site or store where you want to launch Quick Clock

  4. Open the site’s actions menu

“Open Kiosk” may also be pinned as a shortcut beside the site name.

🔗 Launch the kiosk

Copy the kiosk link

Use “Copy Kiosk URL” when Team Rotas is open on a different device from the one employees will use.

  1. Select “Copy Kiosk URL”

  2. Send or paste the link to the kiosk device without opening it on another device

  3. Open the link on the kiosk device

  4. Wait for the Quick Clock screen to load

The link works only once and expires after about an hour.

Open the kiosk directly

Use “Open Kiosk” when Team Rotas is already open on the device that will become the kiosk.

  1. Select “Open Kiosk”. The kiosk opens in a new browser tab.

  2. Wait for the Quick Clock screen to load

Once the kiosk is ready, leave the Quick Clock screen open for employees.

🔐 Complete pairing if a code appears

Some kiosk devices must be approved before they can display the QR code.

If a pairing code appears:

  1. Keep the code visible on the kiosk

  2. Contact your HQ or company administrator

  3. Give them the code shown on the screen

  4. Wait while they approve the device

The pairing code expires after 10 minutes.

Once the device is approved, the Quick Clock QR code appears automatically. If the code expires, return to Team Rotas and create a new kiosk link.

👥 Prepare employees to clock in

Each employee needs a personal clock-in PIN and must be assigned to the site.

Share these guides with your team:

✅ What happens next?

Once the kiosk is running:

  • Employees scan the QR code displayed on the kiosk

  • Employees confirm the clock-in or clock-out with their personal PIN

  • Givver refreshes the QR code automatically

  • Clock-ins are recorded against the site connected to the kiosk

How long the kiosk remains approved depends on the device trust duration configured by your HQ or company administrator.

🔧 Troubleshooting

“Open Kiosk” and “Copy Kiosk URL” aren’t available

Check that:

  1. You’re viewing the correct site in Team Rotas

  2. Quick Clock has been enabled for the site

  3. You have permission to manage shifts for that site

If the actions are still unavailable, contact your HQ or company administrator.

The kiosk link doesn’t work

A copied kiosk link works only once, expires after about an hour, and stops working if it has already been opened on another device.

Return to the site in Team Rotas and select “Copy Kiosk URL” again to create a new link.

The kiosk displays a pairing code

Give the code to your HQ or company administrator within 10 minutes.

If the code expires, create a new kiosk link from Team Rotas.

The kiosk has stopped working

The device’s trust period may have ended, the browser data may have been cleared, or the kiosk may have been opened in a private browsing window.

Create a new kiosk link from Team Rotas. If a pairing code appears, ask your HQ or company administrator to approve it.

An employee can’t clock in

Check that:

  1. The employee is assigned to the correct site

  2. The employee has created a valid clock-in PIN

  3. The employee is scanning the QR code currently displayed on the kiosk

  4. The kiosk has an internet connection

If clocking in still doesn’t work, the employee can enter their hours manually and notify their manager. Share Add a manual time entry in Givver.

🧠 Keep in mind

  1. Use “Copy Kiosk URL” when opening Quick Clock on a separate kiosk device

  2. Kiosk links work only once and expire after about an hour

  3. Don’t use a private or incognito browser window for the kiosk

  4. Employees need a PIN and must be assigned to the site

  5. Contact your HQ or company administrator if a device needs to be approved, replaced, or removed
