How to Request Time Away for Your Team Members

Record time away on behalf of a team member in a few simple steps.

Use this guide if you have permission to manage leave for the team member.

Book time away on behalf of a team member

1. Open the team member’s profile.

2. Select Request time away on behalf of [Team Member’s Name].

3. The request form will open.

Complete the request form

1. Select one of the leave policies available for that team member, for example Annual leave, Sick leave or Maternity leave.

2. Choose Single day or Multiple days, as available.

3. For a single day, select the date and choose Full day, Morning or Afternoon. For multiple days, select the start and end dates and, where relevant, the duration of the first and last day.

4. If the selected policy records leave in hours, enter the start and end times shown in the form.

5. Add an optional note if the approver needs more context.

Supporting documents

Document requirements are set by the selected leave policy. A policy may not require documents, may make them optional, or may require them.

When the document workflow is enabled, you can attach documents now or select Request documents from employee (Inbox). You may also be able to add a due date and a note for the employee.

Supported formats are PDF, DOC, DOCX, XLS, XLSX, JPG, JPEG and PNG, up to 50 MB.

Submit the request

Review the details and select Submit time away.

Balance and booking checks are based on the selected leave policy. Some policies may be unlimited. For other policies, Givver checks the available balance and booking rules and will show a message if the request needs to be changed.

Approval and status

The selected leave policy determines what happens next:

• The request may be approved automatically.

• The request may be sent to an assigned approver.

• Pending means that the request has not yet been approved. It may be waiting for the approver, supporting documents or document validation.

The main place for an authorised approver to review requests is Time → Approvals → Leave. You can also review an individual request from the team member’s profile under Leave → List.

Depending on the request status and your permissions, the available actions may include Approve, Reject, Edit or Delete.

The request remains visible in Givver while it is pending. When it is approved, its status is updated.

Calendars

The request can appear in Givver’s Team Calendar according to the viewer’s permissions. If your organisation has configured the optional Google Calendar integration, eligible leave events can also be synced to the shared Google calendar.
