Who is this guide for? This guide is for companies that have configurable roles and permissions enabled in Givver. It explains Access & Permissions, including Roles & Access, Groups, Module Access and Access Inspector. Only authorised administrators can access these settings.
If your company uses the standard Admin, Line Manager and Employee access levels and has not enabled configurable permissions, use Standard Access Levels in Givver: Admins, Line Managers and Employees. If you are unsure which setup your company uses, ask your company administrator.
Your access in Givver determines which information you can see and which actions you can take. Two people may see different menus or different employees because their company has configured different access for them.
🔑 How access works
A role brings together permissions for a particular responsibility, such as managing HR information or processing payroll. A permission allows a specific action, such as viewing a record, editing it or approving a request.
Permissions also have a scope: the people or records they apply to. For example, someone may be able to approve leave for their team without being able to approve leave across the whole company.
Givver can provide baseline access to your own information. Your assigned roles, any roles you receive through groups, and the features enabled for your company also affect your access. Some time and attendance features depend on your module access.
👤 Access to your own information
Use My profile in the sidebar to open the personal sections available to you:
Personal Details for your personal information.
My Employment for your employment information.
My Pay for pay information you are allowed to view.
My Leave for your leave information.
My Documents for documents available in your profile.
Viewing information and changing it are separate permissions. You may be able to see a record without being able to edit it. If you cannot change a field, ask your company administrator which update process to use.
👥 Access for managers
Managers can be given permissions to support the employees they are responsible for. Depending on their assigned role and scope, this may include reviewing employment information, managing leave requests or approving time entries.
The scope may cover direct reports, a wider reporting line, selected sites, locations or entities. Being someone’s line manager does not, by itself, mean every field or action is available.
Sensitive information has its own permissions. Access to a profile does not automatically mean access to every pay, bank or personal detail. The same applies to documents: the document’s visibility settings also matter.
🛠️ Access for administrators
Administrative responsibilities can be split between different roles. For example, HR and payroll administrators may need different information and actions. Access can also be limited to particular entities or sites.
A role with “Admin” in its name should not be treated as a guarantee of unrestricted access. Check its permissions and scope, rather than relying on the name alone.
Where your company uses configurable access, authorised administrators can review roles, groups and assignments in Access & Permissions. These settings may not be available to every account.
Available system roles include Employee, Manager, HR Admin, Payroll Admin and Super Admin, alongside roles for entity, store and site responsibilities. Your company may also use its own custom roles.
System roles are read-only. Custom roles can provide a different combination of permissions and scope. An employee can have more than one assigned role, so check their overall access rather than a single role in isolation.
🎯 Understand the scope of a permission
Self: the permission applies to your own information.
Team or reporting line: it applies to the employees covered by the configured reporting relationship.
Site, location or entity: it applies within the assigned part of the business.
Company: it applies across the company for that particular action.
Custom: it applies to a selected set of people or organisational criteria.
Scope does not add new actions. Company-wide permission to view information does not automatically include permission to edit or delete it.
📄 Document visibility
Document access depends on both your permissions and the document’s visibility settings. A document being related or assigned to an employee does not necessarily mean every colleague or manager can open it.
If a document is missing, ask an authorised administrator to check who it belongs to and who has viewing access.
🔎 How an administrator can check access
Use these screens to understand an existing configuration. You need access to the relevant administration settings.
Review roles and scope
Open Admin from the sidebar.
Find Access & Permissions and click Manage under Roles & Access.
In All team members, find the employee and review their Role and Scope.
Open the Roles tab and select the role’s name. Turn on Show system roles if you need to find a system role.
Check Overview for the role’s module access and scope. Open Permissions for more detail.
Open Roles & Access from the Access & Permissions section in Admin.
Labels such as View, Approve or Manage describe different levels of access. Limited reach indicates that the role’s access is restricted in scope; review the role’s details to understand which records it covers.
Example from the Manager system role: access levels differ by module, and several have limited reach.
Check an employee’s effective access
Return to Access & Permissions and click Manage under Access Inspector.
Use Search by name or email and select the employee from the results.
Review the Permission trace, including each action’s Scope and Source. You can filter the trace to find a particular permission.
Check Direct roles, Group memberships and Capability profiles to understand where their access comes from.
In Module Access, participation profiles determine which time workflows apply to an employee. For example, Shift worker includes rota, timesheet and clock workflows; Timesheet-only worker includes timesheets; Non-shift worker excludes those workflows.
Reviewing these screens does not change permissions. Changing a role or assignment is a separate action.
❓ If a page, employee or action is missing
A missing option can be caused by your permissions, the scope of your access, module access or the features configured for your company.
Check that you are using the correct company account and looking at the intended employee or record.
Note the page, information or action you expected to see.
Ask your company administrator to review your access and the relevant scope.
If the access appears correct but the option is still unavailable, contact Givver Support with the steps you followed.
💚 Need help?
Your company administrator can help you understand your assigned access. Contact the Givver support team if you need help checking how the configuration works.
