Set up or change an employee’s sites

Assign a primary site and additional support sites to an employee

Site assignments determine where an employee is eligible to work. An employee can have one primary site and one or more support sites.

This guide is designed for managers and administrators who manage employee site assignments.

📍 Set up an employee’s sites

  1. Find and open the employee you want to update.

  2. Select “Set up or change sites”.

  3. Select all the sites where the employee can work.

  4. Choose the employee’s Primary site.

  5. Keep any additional locations selected as support sites.

  6. Save your changes.

The primary site represents the employee’s main place of work. Support sites are other locations where they can work when needed.

Adding another site does not change or end the employee’s existing active site assignments.

➕ Add another support site

To make an employee eligible to work at another site:

  1. Find and open the employee.

  2. Select “Set up or change sites”.

  3. Select the additional site.

  4. Keep the employee’s existing sites selected.

  5. Save your changes.

The employee will now be eligible to support the additional site.

🗑️ Remove a site assignment

To remove an employee from a site:

  1. Find and open the employee.

  2. Select “Set up or change sites”.

  3. Select the site assignment you want to remove.

  4. Select “Delete site assignment”.

  5. Review the message and confirm the deletion.

Removing a site assignment only affects the selected site. The employee’s other active assignments will remain unchanged.

⚠️ Removing an employee’s final site

If the employee has no other active site assignments, they will no longer be available in Team Rotas.

Another active site must be assigned before they can appear in rota planning again.

🧠 Things to keep in mind
