Track and manage e-signature requests

Find drafts, follow recipient progress, and retrieve completed signed documents

Find saved drafts, follow each recipient's progress, and retrieve completed signed documents in Givver.

The Signatures dashboard brings every request and action together in one place.

🛠️ Open Signatures

  1. Go to "Documents"

  2. Open "Signatures"

Use the search box to find a request by document name.

🔎 Find the right request

Use the filters at the top of the dashboard:

  • "All": every signature request available to you, including drafts

  • "Needs action": requests waiting for you to do something

  • "Drafts": requests that have not been sent

  • "Waiting": sent requests waiting for recipients

  • "Completed": requests everyone has finished

  • "Expired/voided": requests that can no longer be signed

The summary cards show how many requests are waiting on others, need your action, are completed, or are saved as drafts.

🏷️ Understand the status

Status

What it means

"Draft"

The request has been started but not sent.

"Sent"

The request has been sent and is waiting for recipient activity.

"In progress"

At least one recipient has started or completed their part.

"Completed"

Every required recipient has finished.

"Declined"

A recipient declined to sign.

"Expired"

The signing period ended before completion.

"Voided"

The sender cancelled the request.

💾 Resume a draft

  1. Open "Drafts"

  2. Select the request you want to continue

  3. Givver returns you to the saved step

  4. Review the document, recipients, fields, and filing destination before sending

A draft saved to Givver appears in both "All" and "Drafts".

If Givver finds unsaved work on your device, choose "Resume draft" to continue or "Discard" to start again.

👥 Review recipient progress

Open a request to see "Signing progress" and how many recipients have signed.

Each recipient can be:

  • "Pending": waiting for the email to be sent or for their turn

  • "Sent": the invitation has been sent

  • "Viewed": the recipient opened the document

  • "Signed": the recipient submitted their signature

  • "Declined": the recipient declined to sign

The "Activity" section records important events, including email delivery, document views, signatures, reminders, completion, and voiding.

⏰ Manage a pending request

The available actions depend on the request status and your permissions:

  • "Send reminder": send another reminder to an eligible recipient

  • "Extend expiry": choose a new future expiry date

  • "Edit and resend": correct a recipient's name or email and send a new signing link

  • "Void": cancel the request and disable its signing links

  • "Void and recreate": cancel the request and create a new draft from it

A waiting period may apply before you can send another reminder. If you edit and resend, the previous signing link stops working.

Review Givver's confirmation before completing an action that cancels or replaces a link.

✅ Open a completed document

  1. Open "Completed"

  2. Select the request

  3. Review every page under "Signed document"

  4. Click "Download" to save the final PDF

The preview and download show the same completed PDF, including all filled fields and signatures. The original upload is labelled separately as "Original unsigned document".

📁 Check filing to an employee profile

If "File after completion" was enabled, the request shows one of these results:

  • "Filing not requested": automatic filing was not enabled before sending

  • "Filing pending": Givver is adding the signed PDF to the employee record

  • "Filed on the employee record": filing completed successfully

  • "Filing failed": the signed PDF could not be filed automatically

When filing succeeds, "Filed to" shows the selected employee. You can also open their profile and go to "My Documents".

If filing fails and "Retry" is available, click it to try again. You can still download the final PDF and upload it manually if needed.

🧠 Things to keep in mind

  1. A saved draft should appear in both "All" and "Drafts"

  2. The activity history helps you understand what has already happened

  3. "Edit and resend" disables the previous signing link

  4. "Void" cannot be undone

  5. A filed document should also appear under the selected employee's "My Documents"
