Upload a document, add the people who need to sign, and track every step in Givver.
You can upload a completed PDF or start from a company template. Givver then guides you through adding recipients, placing fields, and sending the document for signature.
🧰 Before you begin
Make sure:
You have access to "Documents" and "Signatures"
Your document is a PDF no larger than 50 MB, or your company has a published template
Internal employees have an email address in Givver
You know who needs to sign, approve, or receive a copy
🛠️ Start a new request
Go to "Documents"
Open "Signatures"
Click "New request"
The request has four steps: "Document", "Recipients", "Place fields", and "Review and send".
📄 Prepare the document
Under "Choose how to prepare the document", select one of these options:
"Upload a completed PDF" if the document already contains the employee and company information you need
"Use a company template" if you want Givver to prepare the document using a published template
Upload a completed PDF
Click "Upload a completed PDF"
Click the upload area or drag and drop your PDF
Review the "Document name" and update it if needed
Add a "Message to recipients (optional)"
Set the "Expiry (days)"
Choose whether to use "Sequential signing"
Review every page in "Document preview"
Click "Continue"
The default expiry is 14 days. You can enter any whole number from 1 to 365.
Your message will appear in the request email and on the signing page.
Use the page controls or scroll through the preview to review the full document. You can also zoom in, zoom out, or click "Fit to width".
Use a company template
Click "Use a company template"
Select a published template
Select the employee whose information should be used
Click "Generate document"
Review the generated document
Click "Continue"
The employee you select determines which profile information Givver uses to prepare the document.
👥 Add recipients
You can add people from inside or outside your company.
Click "Add internal employee" to select someone already in Givver
Click "Add external recipient" to enter the name and email address of someone outside your Givver account
Choose a role for each recipient
Add any other people who need to be included
The available roles are:
"Signer": must sign the document
"Counter-signer": signs after the primary signer when sequential signing is used
"Approver": approves the document without signing as a party
"CC": receives a copy and does not sign
If you are the only person who needs to sign, select "I'm the only signer".
Set the signing order
With "Sequential signing", recipients act one at a time in the order you choose.
Turn on "Sequential signing"
Drag recipients into the correct order
Review the "Signing timeline"
If sequential signing is turned off, everyone receives the request at the same time and can act in parallel.
When the recipients are correct, click "Continue".
✍️ Place the fields
Add the fields each recipient needs to complete.
Choose a person under "Active recipient"
Select a field under "Field types"
Click the document where you want to place the field
Drag the field to move it or resize it if needed
Use "Field properties" to change the field name, recipient, or required setting
Repeat these steps for every recipient
Fields can include signatures, initials, text, checkboxes, radio buttons, dropdowns, email, phone, name, company, title, and number.
Use the page thumbnails to move between pages. "Preparation readiness" shows whether anything is missing.
Every signer, counter-signer, and approver needs at least one required field. Anyone who must sign also needs a signature field.
When the status shows "Ready", click "Continue".
👀 Review the signing experience
Before sending, you can see how the document will look to each recipient.
Click "Preview signing experience"
Use "Preview as" to select a recipient
Review their fields and pages
Click "Back to editing" when you are finished
The preview is read-only, so nothing can be entered or saved.
📨 Review and send
Check the document, recipients, signing order, message, and fields.
Under "Delivery settings", review:
"Email subject"
"Delivery language"
"Automatic reminders"
The reminder schedule is shown on the page.
Add an access code
You can protect a recipient's signing page with a 4–12 digit access code.
The code is never included in the email. After sending, Givver shows it one final time so you can share it with the recipient through a separate channel, such as a phone call or private message.
File the signed PDF to an employee profile
Use "File after completion" if you want the final signed PDF added to an employee's record.
Turn on "File after completion"
Click "Choose the employee record"
Select the employee who should receive the document
Check the selected employee before sending
Filing cannot be enabled if every recipient is external.
💾 Save the request for later
Click "Save and finish later" if you are not ready to send.
"Saved to Givver" means the draft was saved to your account
"Saved on this device" means you should return using the same browser and device
"Could not save" means the save was not completed; keep the page open and click "Retry"
A draft saved to Givver appears in both "All" and "Drafts".
🚀 Send the request
Complete the final checks
Click "Send for signature"
Givver will confirm "Envelope sent". Recipients will receive an email with their signing link.
If you added access codes, copy them from the confirmation page and share each code with the correct person. This is the only time the codes are displayed.
Click "View envelope" to open the request and follow its progress.
✅ What happens next?
Once everyone has finished:
Givver creates a final PDF containing all completed fields and signatures
You can preview and download the signed PDF from the request
If "File after completion" was enabled, Givver adds the signed PDF to the selected employee's "My Documents" section
🧠 Things to keep in mind
Review every page before continuing
Check that every field is assigned to the correct recipient
Sequential signing controls who acts first
Access codes must be shared separately from the email
"File after completion" must be enabled before sending if the signed PDF should be added to an employee profile
