Use Payroll setup to configure each PAYE scheme, HMRC submissions, payment details, payslip delivery and payroll approvals.
To access it, go to:
Admin Settings → Pay → Payroll setup
Select the relevant entity or PAYE scheme before changing its settings.
PAYE scheme details
Open PAYE scheme details to configure the entity’s HMRC references.
You can:
Enable or disable payroll for the entity.
Enter the Office number — the first three digits of the Employer PAYE reference.
Enter the PAYE reference — the letters and numbers shown after the slash.
Enter the Accounts Office reference — the 13-character reference issued by HMRC.
Make sure these details match the information registered with HMRC.
HMRC credentials
Open HMRC credentials and choose who will submit payroll to HMRC.
Givver, as your agent
Select this option if Givver is authorised to submit payroll on your behalf. You do not need to enter Government Gateway credentials.
Our company
Select this option if your company will submit payroll directly.
Enter the:
Government Gateway user ID linked to your PAYE Online for Employers account.
Government Gateway password for that user ID.
Click Save to apply your changes. Store and share Government Gateway credentials only through approved secure channels.
Bank account
Open Bank account to add the account used to create salary or HMRC payment files.
If payments are not made by Direct Debit:
Click Add bank account.
Enter the requested bank details.
Review and save the information.
The saved account will be reused whenever you generate the relevant payment files from Payroll.
Payroll settings
Open Payroll settings to configure the scheme’s standard payment information and employer allowances.
Payment details
Enter:
Payment day — the usual day of the month on which employees are paid.
Statutory payment recovery rate — the applicable recovery percentage for statutory payments.
Employer allowances
Enable the allowances that apply to this PAYE scheme:
Employment Allowance — reduces the employer’s Class 1 National Insurance liability.
Apprenticeship Levy Allowance — records the annual levy allowance allocated to the scheme.
Click Save after making changes.
Payslips
Open Payslips to manage automatic payslip delivery.
Turn on Automatically send payslips if employees should receive their payslips by email after payroll has been submitted.
Important:
The setting applies only to pay runs submitted after it has been enabled and saved.
Payslips can still be sent manually at any time.
Click Save to activate the setting.
Approvals
Open Approvals to define how payroll moves through the approval process.
Approval settings currently apply company-wide across all PAYE schemes.
Choose the quorum mode
Select one of the following:
Any single approver — one assigned approver is enough to complete the current level.
All approvers must approve — every approver assigned to the current level must approve before payroll advances.
Manage approval levels
Under Approvers by Level, you can:
Configure between one and three consecutive approval levels.
Assign up to ten approvers to each level.
Use Add level to create another stage or Remove level to remove the highest stage.
Add or remove individual approvers when required.
Each configured level must have at least one approver. The same person cannot be assigned to more than one level.
For the steps approvers follow inside a pay run, see Payroll Approval Flow.
Allow admins to approve their own pay
Enable Allow admins to approve their own pay if payroll approvers who are also included in the pay run may approve their own calculation. This option requires support from the payroll engine.
Saving changes
An orange indicator and the message Unsaved changes appear when a section has been edited but not saved.
Click Save in each edited section before leaving the page. The All sections view lets you review the complete setup for the selected entity.
