Send Payroll Journal Entries to Xero

Step 1: Open your payroll summary

  1. Log in to Givver and navigate to Payroll.

  2. Select the payroll month you want to sync.

  3. Ensure the payroll has been submitted.

    • If payroll is still in progress, you will not be able to post journal entries.

Step 2: Select Sync to Xero

  1. On the payroll summary page, click Sync to Xero (top right corner).

  2. Givver will prepare the payroll data for mapping.

Step 3: Map payroll items to Xero accounts

When the Payroll to Xero Account Mapping window opens, you have two possible flows:

  • If you do not have your own chart of accounts:

    • No action is needed. Simply click Continue to Sync and Givver will apply the default mapping automatically.

  • If you do have your own chart of accounts:

    • Click Edit Mapping.

    • A dropdown list will appear with all the available Xero account codes.

    • Select the correct account for each payroll category (e.g. Gross wages, Net wages, PAYE, NICs, Pension contributions, Student loan repayments, etc.).

    • Click Save & Continue.

Note: Once you save your mapping, Givver will remember it for future payrolls. You only need to set it once, unless your chart of accounts changes.

Step 4: Review the journal

  1. A preview of the payroll journal will be displayed, showing:

    • Date of the payroll

    • Description of each line item

    • Xero account codes

    • Debit and credit amounts

  2. Check that all amounts are balanced (Debits = Credits).

    • If they do not match, Xero will not accept the journal and it will not be posted.

  3. Confirm that the correct Xero organisation is selected.

Step 5: Post to Xero

  1. Once reviewed, click Post to Xero.

  2. The journal will be posted automatically to your Xero account.

  3. If you have already synced this payroll before, you will see a confirmation message:

    • “You have already synced this payroll with Xero. Syncing again will create another set of journal entries. Do you want to continue?”

    • Select Yes, Continue if you want to post another set of journal entries, or Cancel to stop.

✅ Your payroll journal is now successfully synced to Xero.
